The person carrying out the scheduling can choose to either schedule Resources to a Job, or schedule Jobs to Resources. By changing to View mode (on the Scheduling Pane View > View mode) between By Task and By Resource, the Job Scheduling module changes the options and values displayed in the Resource Pane and the Scheduling Pane to provide alternate scheduling options.
By Task
When the Scheduling View is set to By Task, resources are assigned to tasks (which are in essence Subjobs). In this view, the Resource Pane will display all the available staff and job resources, while the Scheduling Pane displays the available Subjobs. The scheduler is able to see the amount of available and allocated time associated to each resource.
Please note in the above image, the Filter Pane has been minimized to the left-hand toolbar. There is no change in the Filter Pane between the Task and Resource view.
Resource Pane
When the Scheduling View is set to By Task, the Resource Pane displays the staff and job resources that are available for scheduling, along with providing feedback about the total work that has been allocated to the staff member and related team.
The Resource Pane can be minimized to the right-hand toolbar to maximize screen space for scheduling. Within the Resource Pane, the scheduler has the option to choose which resources they want to work with. The pane has three tabs on it:
- Combination: Shows both staff and job resources in a single list per group, allowing the combined groups to be scheduled
- Staff: Only shows staff resources for scheduling purposes.
- Resource: Only shows job resources for scheduling purposes.

Forecast Range |
The Forecast Range is an integral factor in calculating the available and allocated hours for a resource. The system uses this value to calculate the total available hours for a particular resource, based on the current date and specified time frame, the individual resource work schedule (if available) and the total work allocations they have been assigned. The combination of the two is used to calculate the allocation %. |
Group |
The current Group that the resource has been assigned to. This group is based on the The system does accommodate a dynamic reallocation of resources between groups. By clicking on and highlighting a resource, a user can drag the resource through to a different group. This reallocation will not effect any of the work allocations assigned to the resource. It will merely update the group allocation for the resource along with the associated allocation calculations for the group. The reallocation will also update the source Resource Type fields on the Employee Master Data and Job Resource records. |
Resource |
The name of the resource drawn from either the Employee Master Data or Job Resource records. |
Red Traffic Light |
This column is used to identify which resources have the skills, or are able to work |
Green Traffic Light |
This column is used to provide visual notification to the scheduler regarding the extent that a resource has been scheduled in the forecast range. The colors that are displayed for the different levels of allocation can be defined in the configuration of the Job Scheduling utility. <<Please refer to the Colours in Scheduling section.>> |
Allocated (Hrs) |
The sum total of the scheduled work assigned to a resource in the forecast range. |
Available (Hrs) |
The total number of hours that are available to the specific resource based on the forecast range. This is calculated using the individual resources' working schedule where available. |

This is calculated as the Allocated Hrs / Available Hrs to provide feedback on the |
By Resource
With the Job Scheduling View set to By Resource, the scheduler can assign tasks (Subjobs) to Resources. In this view, the Resource Pane will display all the available Jobs, based on the filter criteria, while the Scheduling Pane displays the available Resources, based on the filter criteria. The scheduler can easily view the amount of scheduled time assigned to each Subjob.
Please note in the above image, the Filter Pane has been minimized to the left-hand toolbar. There is no change in the Filter Pane between the Task and Resource view.
Resource Pane
When the Scheduling View is set to By Resource, the Resource Pane displays all Jobs that are available for scheduling, based on the filter applied. The scheduler also has visibility on the total work that has been allocated to each of the Jobs.
When setting the Scheduling View to By Resource, the options in the Resource Pane are reduced due to the fact that there is less information that can be determined. As an example, in the Resource Pane with the Scheduling View set to By Task, the system can display total time available, allocated and allocation % for each resource. This information cannot be displayed when the Scheduling View is set to By Resource, as there is no available time for a job.
