User Authorizations

Eralis Job contains its own set of user authorizations, similar to the authorizations that are available in standard SAP Business One. These authorizations control the specific functions and operations that a user can perform in the Job module.

Authorizations can be accessed under Administration > System Initialization > Authorizations > Job Authorizations.

Authorization	Details	Options
CONTRACT
Access Contract Estimated Costs	This determines whether the user is able to access the Estimated Costs to Complete calculation tab on the Contracts screen. This also applies to the bulk Estimated Costs to Complete option in the Transaction sub-menu of the main Job menu.	Full Authorization: Permits the user to access the screen. No Authorization: Prevents the user from accessing the screen.
Access Contract Form	Controls overall access to the Contracts screen from the Master Job.	Full Authorization: Allows the user to carry out any contract processing, subject to any other authorizations applied to the user account. Read Only: Provides the user with viewing rights, but no processing rights. No Authorization: Prevents the user from being able to open the Contract screen.
GL CODES
GL Code Alteration	Allows the application of a restriction to a user account, preventing them from being able to change or alter the General Ledger accounts on a Job. These could be the accounts on the Master Job screen or the GL accounts on the individual job lines.	Full Authorization: Allows the user to change the GL accounts, provided no authorization prevents them from doing so. No Authorization
INVOICE GENERATION
Invoice Generation	Determines whether or not the user can generate an A/R invoice in Eralis Job. This relates to the A/R invoice from the Job Line Processing tab of the Job as well as to A/R invoices created from the Contracts module.	Full Authorization: Permits the user to create A/R invoices, provided no authorization prevents them from doing so. No Authorization
Bulk Process Wizard	This authorization is focused on the generation of invoices from the Bulk Processing Wizard.	Full Authorization: Permits the user to run the invoicing routine within the Bulk Processing Wizard, provided no authorization prevents them from doing so. No Authorization
JOB ACCESS
Access Jobs / Subjobs with no assigned activities	Restriction preventing users from accessing a Job / Subjob if they have not been assigned an activity against that Job / Subjob.	Full Authorization Read Only No Authorization
Access Jobs / Subjobs by branch	Restriction preventing users from accessing a Job / Subjob based on branch allocation. The system will look at the Branch field on the Master Job and compare it to the Branch field on the HR Record of the logged in user.	Full Authorization Restricted
Access Jobs / Subjobs which belong to other project managers	Restriction preventing users from accessing a Job belonging to another project manager. JOB SETUP
System Initialization	Restricts access to open or make changes to the Eralis Job System Initialization screen.	Full Authorization: Permits the user to open and make any required changes. Read Only: Permits the user to open and view the details inside the screen. No Authorization: Prevents the user from being able to open the screen.
Setup Job Type	Restricts access to open or make changes to the Setup Job Type screen.	Full Authorization: Permits the user to open and make any required changes. Read Only: Permits the user to open and view the details inside the screen. No Authorization: Prevents the user from being able to open the screen.
Setup Job Property	Restricts access to open or make changes to the Setup Job Properties screen.	Full Authorization: Permits the user to open and make any required changes. Read Only: Permits the user to open and view the details inside the screen. No Authorization: Prevents the user from being able to open the screen.
Setup Job Status	Restricts access to open or make changes to the Setup Job Status screen.	Full Authorization: Permits the user to open and make any required changes. Read Only: Permits the user to open and view the details inside the screen. No Authorization: Prevents the user from being able to open the screen.
Setup Job Analysis	Restricts access to open or make changes to the Setup Job Analysis Codes screen.	Full Authorization: Permits the user to open and make any required changes. Read Only: Permits the user to open and view the details inside the screen. No Authorization: Prevents the user from being able to open the screen.
Setup Job Resource Type	Restricts access to open or make changes to the Setup Job Resource Type screen.	Full Authorization: Permits the user to open and make any required changes. Read Only: Permits the user to open and view the details inside the screen. No Authorization: Prevents the user from being able to open the screen.
Setup Job Resource	Restricts access to open or make changes to the Setup Job Resources screen.	Full Authorization: Permits the user to open and make any required changes. Read Only: Permits the user to open and view the details inside the screen. No Authorization: Prevents the user from being able to open the screen.
Setup Job Category	Restricts access to open or make changes to the Setup Job Category screen.	Full Authorization: Permits the user to open and make any required changes. Read Only: Permits the user to open and view the details inside the screen. No Authorization: Prevents the user from being able to open the screen.
Setup Document Group	Restricts access to open or make changes to the Setup Document Groups screen.	Full Authorization: Permits the user to open and mak any required changes. Read Only: Permits the user to open and view the details inside the screen. No Authorization: Prevents the user from being able to open the screen.
Setup Contract Phases	Restricts access to open or make changes to the Setup Contract Phases screen.	Full Authorization: Permits the user to open and make any required changes. Read Only: Permits the user to open and view the details inside the screen. No Authorization: Prevents the user from being able to open the screen.
Setup User Fields	Restricts access to open or make changes to the Setup User Fields screen.	Full Authorization: Permits the user to open and make any required changes. Read Only: Permits the user to open and view the details inside the screen. No Authorization: Prevents the user from being able to open the screen.
Setup Reports	Restricts access to open or make changes to the Setup Reports screen.	Full Authorization: Permits the user to open and make any required changes. Read Only: Permits the user to open and view the details inside the screen. No Authorization: Prevents the user from being able to open the screen.
Setup Job Time Type	Restricts access to open or make changes to the Setup Job Time Type screen.	Full Authorization: Permits the user to open and make any required changes. Read Only: Permits the user to open and view the details inside the screen. No Authorization: Prevents the user from being able to open the screen.
JOB SETTINGS
Status Change	This restriction limits who is able to change the status on a Job / Subjob. The status controls certain attributes about the Job / Subjob such as: Making the Job / Subjob read only. Making the Quote tab of the Job / Subjob read only. By giving users access to make changes to the job status, the user is essentially given access to re-open jobs or alter quotes.	Full Authorization: Allows the user to change the status provided that no authorization prevents the user from being able to change the status. No Authorization
Type Change	The Job Type controls the default GL account settings on the Job. Allowing the user to change the Job Types gives them the ability to alter the manner in which GL posting occurs.	Full Authorization: Allows the user to change the type provided no authorization prevents the user from being able to change the type. No Authorization
Access Serial Numbers	Serial number tracking is enhanced in Eralis Job to allow you to allocate serial numbers to specific job lines. When you carry out any processing specific to that job line, you are provided with a list of serial numbers allocated to that line. However, you do have the option in the Serial Number Selection screen to override the allocation and select different serial numbers. This authorization controls that ability to override the allocated number selection and force users to only work with serial numbers allocated to the specific line.	Full Authorization: Allows the user to override the allocated serial numbers provided that no authorization prevents the user override. No Authorization
JOB TRANSACTIONS
Access Non-chargeable column on a Job Line	The settings control the ability for a user to change the Chargeable / Non-chargeable check box on a job line.	Full Authorization: Allows a user to make changes, provided no authorization prevents changes from being made. No Authorization
Direct Data Entry	Authorization permitting or preventing a user from entering data against a job from the Job data entry screens.	Full Authorization: Implies no restriction on the user for data entry. No Authorization: Prevents the user from entering data.
Data Entry for Warehouse	This authorization applies to the material entry function in Eralis Job and allows you to specify which warehouses the user can pick stock from.	Full Authorization: Allows the user to pick stock from any warehouse in SAP Business One (with the exception of the Eralis Job work-in-progress warehouse). Restricted: Allows you to specify a comma delimited list of warehouses that the user can pick stock from. When they try to pick stock from any Eralis Job data entry screens, the only options that they will have available to them will be the warehouses in the list.
Move Job Lines	Controls the ability for a user to move a line from one Subjob through to another Subjob.	Full Authorization: Allows the user to move job lines, provided no authorization prevent lines from being moved. No Authorization
Process Stock Check	Controls the ability to run the stock check functions in Eralis Job.	Full Authorization: Allow the user to execute the stock check and process any transactions based on the recommendations made. No Authorization: Allows the user to execute the stock check function, but they are not able to generate any transactions from the stock check based on the recommendations provided.
READ ONLY ACCESS
Read / Write Access	Controls whether or not the entire Job module is set to a read only state.	Full Authorization: Leaves the system in a standard editable mode, provided no authorization applies a read only mode. No Authorization
SAP BUSINESS ONE AUTHORIZATION
Chart of Accounts	Controls whether or not the user can open the standard SAP Business One Chart of Accounts screen.	Full Authorization: Allows access to the Chart of Accounts screen, provided no authorization prevents access. No Authorization
Journal Entry	Controls whether or not the user can open the standard SAP Business One Journal Entry screen.	Full Authorization: Allows access to the Journal Entry screen, provided no authorization prevents access. No Authorization
Employee Master Data	Controls whether or not the user can open the standard SAP Business One Employee Master Data screen.	Full Authorization: Allows access to the Employee Master Data screen, provided no authorization prevents access. No Authorization
SETTLEMENT PROCESSING
Allow Settlement Processing	Controls whether or not the user can run the settlement processing function from the Bulk Processing Wizard.	Full Authorization: Permits the user to run the settlements processing, provided no authorization prevents the processing. No Authorization
Allow Settlement Adjustments	This restriction provides control over whether or not the user can change the calculated adjustments for the settlement process, or, whether they are forced to work with the system calculated values.	Full Authorization: Allows the user to alter the settlement calculations, provided no authorization prevents them from making changes. No Authorization
TAB ACCESS
Quote Tab	Determines whether or not the user is able to access the Quote tab on a Master or Subjob.	Full Authorization: Provides access to the tab, provided no authorization prevents access to the tab. No Authorization
Transactions Tab	Determines whether or not the user is able to access the Transactions tab on a Master or Subjob.	Full Authorization: Provides access to the tab, provided no authorization prevents access to the tab. No Authorization
Time Staff Tab	Determines whether or not the user is able to access the Time Staff tab on a Master or Subjob. Note: This only applies to Eralis Job versions prior to 8.00.200 as this tab was removed from subsequent versions.	Full Authorization: Provides access to the tab, provided no authorization prevents access to the tab. No Authorization
Resource Tab	Determines whether or not the user is able to access the Resource tab on a Master or Subjob. Note: This only applies to Eralis Job versions prior to 8.00.200 as this tab was removed from subsequent versions.	Full Authorization: Provides access to the tab, provided no authorization prevents access to the tab. No Authorization
Material Tab	Determines whether or not the user is able to access the Material tab on a Master or Subjob. Note: This only applies to Eralis Job versions prior to 8.00.200 as this tab was removed from subsequent versions.	Full Authorization: Provides access to the tab, provided no authorization prevents access to the tab. No Authorization
Purchasing Tab	Determines whether or not the user is able to access the Purchasing tab on a Master or Subjob.	Determines whether or not the user is able to access the Purchasing tab on a Master or Subjob. No Authorization
Invoice Tab	Determines whether or not the user is able to access the Invoice tab on a Master or Subjob.	Full Authorization: Provides access to the tab, provided no authorization prevents access to the tab. No Authorization
Accounting Tab	Determines whether or not the user is able to access the Accounting tab on a Master or Subjob.	Full Authorization: Provides access to the tab, provided no authorization prevents access to the tab. No Authorization
User Defined Fields Tab	Determines whether or not the user is able to access the User Defined Fields tab on a Master or Subjob.	Full Authorization: Provides access to the tab, provided no authorization prevents access to the tab. No Authorization
VISIBLE COSTS
Visible Costs	Provides a restriction to make unit cost prices, total cost, margin and markup fields on all Eralis Job screens non-visible to prevent the user from seeing the costs or working out what the costs are. This setting overrides standard form settings.	Full Authorization: Makes the cost related fields visible, provided no authorization makes them non-visible. No Authorization
VISIBLE PRICES
Visible Prices	Provides a restriction to make all unit sell prices, total prices, margin and markup fields on all Eralis Job screens non-visible to prevent the user from seeing or calculating the prices on a transaction. This setting overrides standard form settings.	Full Authorization: Makes the price related fields visible, provided no authorization makes them non-visible. No Authorization

The purpose behind the SAP Business One restrictions is to overcome requirements within the SDK. To carry out certain processing in Eralis Job, user authorizations to certain areas of SAP Business One cannot be restricted using the SAP Business One general authorizations. However, in a number of instances, access to these areas is not desirable. Using the SAP Business One authorizations in the Eralis Job authorizations areas, you are able to apply a restriction to prevent the user from being able to access the relevant screens if they try to open them. Based on the SAP Business One authorizations, the user has authority to use the objects, and as such the SDK will allow the user to do the necessary processing; however, if they try to access the screens, the additional Eralis Job authorizations prevent them from doing so.
